How Aquatic Park Sailing Club collects, uses, and protects your information

1. Who We Are

Aquatic Park Sailing Club (“APSC”, “we”, “us”, or “our”) is a member-run sailing club located on the Leslie Street Spit in Toronto, Ontario, Canada. This policy explains how we handle personal information collected through our website and member services.

2. Information We Collect

We collect the following categories of information:

  • Account information: name, email address, and profile photo provided when you sign in (including via Google or Facebook sign-in).
  • Membership information: contact details, boat information, mooring assignment, insurance documents, emergency contacts, and work-hour records.
  • Member-submitted content: posts, comments, job sign-ups, photos, and other content you choose to share through the member portal.
  • Usage data: basic technical information such as browser type, pages viewed, and timestamps, used to operate and improve the site.

3. How We Use Your Information

We use personal information to:

  • Authenticate you and provide access to the member portal.
  • Administer club membership, moorings, work-hours, and events.
  • Communicate with you about club business, events, and announcements.
  • Maintain safety and insurance records as required by the club’s operations.
  • Comply with legal obligations.

4. Google Sign-In and Third-Party Data

When you sign in with Google, we receive your name, email address, and profile picture from Google. We use this information solely to create and maintain your APSC account and match it to your club membership record. We do not sell or share Google user data with third parties, and we do not use it for advertising. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who Can See Your Information

Public website. The public pages of our website do not list individual members by name. Role-based contact addresses (for example, commodore@aquaticpark.com) may appear on public pages, but personal email addresses and phone numbers are never displayed publicly.

Member directory. The member directory is available only to signed-in members of the club. Within the directory, other members can see your first and last name, membership type and number, year you joined, boat name and photo (if you have one), mooring ball number, social media links you have added, and your profile photo (if you have uploaded one).

Email and phone are hidden by default. Your email address and phone numbers are not shown in the directory unless you explicitly opt in by enabling “Show my email address” or “Show my phone number(s)” in your profile settings. You can change these settings at any time.

Profile photo. If you upload a profile photo, it is visible to other signed-in members in the directory. To remove your photo from the directory, delete it from your profile.

Membership types not listed. Members with Ex_Member, Family, and Social membership types are not shown in the directory.

6. Service Providers

We use third-party service providers to operate the site, including Supabase (authentication and database hosting), email-delivery providers, and cloud storage. These providers process data on our behalf under their own security and privacy terms.

7. Data Retention

We retain member records for as long as you are a member of the club, and after your membership ends we keep a historical record (marked as a former member) for the club’s administrative and historical purposes. Former members are not shown in the member directory.

You may request deletion of your personal information at any time by contacting the club. We will honour deletion requests except where we are required to retain certain information for legal, insurance, or safety reasons (for example, records relating to work-hour credits, insurance documents, or incident reports).

Photos, documents, and other content you upload remain stored until you or an administrator delete them.

8. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting the club. Members can update most profile information directly in the member portal.

9. Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections and access controls. No system is perfectly secure; we cannot guarantee absolute security.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated to members via the member portal or email.
